Privacy Policy

Mindful Counseling & Wellness, PLLC ("MCW," "we," "us") is a North Carolina telehealth psychiatric practice. This policy explains what information this website collects and how we handle it.

This policy covers the website only. If you become a patient, your health information is protected under HIPAA and governed by our Notice of Privacy Practices, which controls over this policy for protected health information.

What this website collects

Technical logs. Our hosting provider (currently Vercel) processes standard server logs — IP address, browser type, pages requested, timestamps — to deliver and secure the site. We do not use these logs to identify or profile visitors.

The "Questions?" assistant. The assistant on this site answers general questions about our practice. Today it runs entirely in your browser from a prepared set of answers — nothing you tap or type in it is transmitted to us or stored anywhere. If we enable its AI-powered version, messages will be processed transiently on secure infrastructure under a business associate agreement to generate a reply, and we will not store chat transcripts — conversations will exist only in temporary memory during your session, never retained, reviewed, sold, or used to train AI models, with anonymous operational counters (for example, number of sessions) as the only record. Information you choose to send us. If you call, text, or email us, we receive what you send. The callback form on our Get Started page collects only your name, how to reach you, and a good time to call — it asks for no health information. If you request an appointment, your information is collected through our practice-management system (PracticeQ), which is a HIPAA business associate of the practice; from that point it is handled under our Notice of Privacy Practices — not this website.

What we don't do

  • No advertising or cross-site trackers. This site uses no ad pixels, no third-party analytics, and no cross-site tracking. We do not use tracking cookies. Our web host measures aggregate page views and how quickly pages load, so we can keep the site fast and useful. That measurement sets no cookies, does not identify you, and is never shared with advertisers.
  • No sale or sharing of personal information. We do not sell personal information or share it for advertising, and we never have.
  • No AI training on your information.

Links to other services

Getting started, scheduling, and insurance steps link to services we use to run the practice — our insurance-billing partner (currently Headway), where you create an account, add your insurance or payment method, and book your appointment; PracticeQ (intake and records); and Spruce (phone and secure messaging) — each operating under agreements that protect health information. When you follow our booking link, you leave this website and Headway's own privacy policy governs what you share there. Directory profiles (for example, Psychology Today) and any other external links are governed by those sites' own policies.

Security and retention

We use encrypted connections (HTTPS) sitewide. Technical logs are retained by our hosting provider per its standard schedule. Assistant messages are not retained. Patient records are retained per our Notice of Privacy Practices and applicable law.

Children

This website and our services are intended for adults. We do not knowingly collect information from children under 13, and the practice treats adults (18+).

Your choices and rights

You can use this website without providing personal information. Patients' rights regarding health information (access, amendment, accounting of disclosures, and more) are described in our Notice of Privacy Practices. North Carolina has no comprehensive consumer privacy statute; where other states' privacy laws apply, health information we hold as a HIPAA-covered entity is generally governed by HIPAA rather than those laws.
